What This Role Is About

The role involves coordinating operational matters within the company, following up on outstanding issues, structuring processes, and serving as a liaison between management, service staff, the kitchen, facility management, external service providers, and guests. You’ll help ensure that important matters don’t get left unaddressed, that responsibilities are clearly defined, and that management’s day-to-day workload is noticeably reduced.

What You Should Bring to the Table

You don’t have to be a master of everything just yet. What’s more important is that you’re willing to take on responsibility, are reliable, and enjoy bringing order to many concurrent tasks.

A background in one of the following areas would be a good fit:

  • reception, reservations, or event coordination, or
  • office management or executive assistance or
  • F&B, purchasing, or hotel operations, or
  • technical administration, facility coordination, or business operations, or
  • the hotel industry or the restaurant industry

What matters most to us is

  • organizational skills and the ability to see the big picture
  • reliability and attention to detail
  • Enjoyment of coordination and follow-up
  • A basic understanding of technology or an interest in technical topics
  • Business acumen
  • Confident communication with a variety of people
  • A keen sense of service quality and the guest experience
  • Discretion, loyalty, and a sense of responsibility
  • Proficiency with MS Office
  • Willingness to learn new systems and processes

Your Responsibilities

You will support management with organizational and cross-departmental matters and, in particular, will be responsible for:

  • Coordinating and tracking open tasks, deadlines, and actions
  • Liaising with the building manager, tradespeople, suppliers, and external partners
  • Organizing repairs, maintenance, and small-scale projects
  • Providing support on technical and system-related issues such as hotel software, IT, Wi-Fi, point-of-sale systems, equipment, or maintenance
  • Preparing for and documenting meetings
  • Assistance with F&B matters, purchasing, delivery notes, price calculations, and menu evaluations
  • Contributing to service quality, breakfast standards, guest feedback, and internal improvements
  • Support with training, onboarding, and organizational HR matters
  • Contributing to sustainability and quality initiatives within the hotel
  • Clear, respectful communication with employees, guests, and partners
